Village Hall Minutes 120424

Minutes of The Village Hall Management Committee held on Tuesday 24th April 2012 at 7.30p.m. in the Village Hall.

 

  1. Present.

  1. Apologies were received from:

  1. Minutes of the Meeting held on 9th January 2012.

           The minutes of the meeting held on 9th January were accepted.

  1. Refurbishment Work Update.

The refurbishment work is well underway. The building works should be completed in the next 2 weeks. A quote is needed for the guttering and the fire doors are still to be fitted. The front door will be the Fire Door downstairs. It was pointed out that new notices for fire evacuation procedures will be required. The plasterer could prepare the downstairs room ready for decoration.

There was discussion about a plan for finishing the work. Volunteers will be needed to help with cleaning, painting and sanding the floor upstairs etc

Terry agreed to put together a flier to be distributed to everyone in the village asking people to help.

Mike would ask Simon Gibbon if he is able to provide paint at a reduced cost. It was agreed that the doors would be best painted and that magnolia would be suitable.

Mike said that the cooker and dishwasher should be here on time.

5. Financial Situation.

           Kate Gibbon had provided the following information:

           Santander Current Account: £14,867.74

Santander Deposit Account: £39,672.89

Natwest Current Account: £5,895.50

Total: £54,540.63

The builder John Swales has been paid 3 increments to date.

The funds will be sufficient to meet the full building costs.

Terry Andrews gave on update on the applications for funding. There have been 2 successful bids: £400 from the YBS and £2000 from the Jack Brunton Charitable Trust. There are also 2 further applications pending.

The committee proposed a vote of thanks to Terry Andrews for the all the hard work he has put into the funding applications.

It was also suggested that a ‘Thank You’ to those you have agreed to fund the Village Hall could be pasted on the website.

The following fundraising events have been organised:

Plant Sale. Saturday 28th April.

Jubilee Celebration. Monday 4th June.

         6. Bookings.

Dorothy Johnson confirmed that she has given Kate Gibbon the invoice for the bookings for the first quarter.

Dorothy reported that she had received a booking from the Saltburn Brownies for the end of May. There was a discussion as to whether the Hall would be ready by then. It was proposed that this be seen as the deadline for the work to be completed.

         7. Date for AGM.

It was agreed that the AGM would take place on Tuesday 15th May at

7.30 pm in the Village Hall.

John Atkins reported that the Choir is not going to continue. He is however willing to continue on the committee and it was proposed that he becomes a co-opted member . Mike Foster said that Kate Gibbon has indicated her wish to stand down as Treasurer. A replacement therefore needs to be found.
